Boardroom Video Conferencing Dubai — The System Specification Guide for Large Rooms
You have a room brief that a video bar cannot fulfill. Ceiling microphones. Multiple camera zones. A DSP already managing the speakers. Crestron controlling the lights and blinds. A table long enough that the far end needs its own microphone. This page explains the complete system — what it takes, which platform it runs on, and which of the three HP Poly large room systems is the right answer for your specific room.
This page is for: AV integrators specifying a client project — and IT directors or facilities managers building a procurement case for a complex large room deployment. The product-level specifications, system comparisons, DSP integration options, and technical FAQ are written for professionals. If you need a standard conference room system for 8–12 people, the HP Poly video conferencing page is the right starting point.
Eight Requirements That Tell You This Is a Large Room Project
A standard conference room system — X52, one display, one TC10 — covers most rooms up to 12 people and tables up to 6 metres. When the brief includes any of the following, the room requires a different specification conversation. Three or more of these ticked means the X72, G62, or G7500 is the right platform.

X72, G62, or G7500 — Choosing by Room Architecture
All three systems run VideoOS 5.0 on Android 13. All three are certified for Microsoft Teams Rooms and Zoom Rooms natively. All three carry the 2032 lifecycle commitment. The decision is not about platform or firmware — it is about room architecture and what the room physically requires.
| System | Room Type | Architecture | Choose When |
|---|---|---|---|
| Poly Studio X72 All-in-One |
Large rooms 12–25 people | Dual 4K cameras built into the video bar. 120° wide + 70° telephoto. DirectorAI switches automatically. No separate codec. PoE cable powers the entire system. | Room needs better than an X52 but doesn't require ceiling mics, a separate codec, or legacy Polycom compatibility. Large conference room, training room, or board room where a well-positioned integrated system covers everything. |
| Poly Studio G62 Modular · Mid-Range |
Any room size — scalable | Separate modular codec. Connects to E70/E60 cameras over IP. Supports IP ceiling mic tiles and IP table mics via LLN. Biamp/QSC/Shure/Extron DSP via USB. Crestron/QSC room control from TC10. | Room needs ceiling mics, multiple IP cameras, or DSP integration — but has no legacy Polycom infrastructure to preserve. The modular entry point. Lower cost than G7500 with the same IP mic and 3-camera capability. |
| Poly Studio G7500 Modular · Flagship |
Boardrooms 20–50+ · Auditoriums | Flagship modular codec. All G62 capabilities plus: EagleEye IV HDCI, Director II, Producer, legacy Polycom ceiling mics via IP Adapter, SoundStructure, up to 4 TC10 controllers, native serial port. | Room has legacy Polycom cameras or ceiling microphones worth preserving. Or needs 4 TC10 controllers across a long boardroom table. Or is a flagship executive deployment where the ceiling-to-floor specification matters. |

Each System — What It Is, What It Does, Who It's For
Each card opens with the problem the system was built to solve — not the product name. All specs sourced from HP Poly official documentation and VideoOS firmware release notes.
Poly Studio X72
The X72 solves the large room camera problem architecturally — without requiring a separate codec, a rack room, or an IP camera network. Two 4K 20MP cameras are integrated into a single video bar unit: a 120-degree wide-angle covering the full table and a 70-degree telephoto focusing on the active speaker. DirectorAI switches between them based on voice activity — automatically, continuously, without a camera operator or manual preset.
For the room that is too complex for an X52 but doesn't require ceiling microphones, IP camera distribution, or legacy Polycom peripheral compatibility — the X72 is the complete answer in a single PoE-powered unit. Mount it above the display. Connect a network cable. The room is operational.
VideoOS 4.5 added IP camera support for the X72 via USB dongle LLN — up to 2 cameras in Teams mode with the HP USB 3.0 to Gig RJ-45 Adapter G2 and a Netgear GSM4210PD switch. Auto Mic Switching (VideoOS 4.6.1) works with A2 Table Mics and IP ceiling microphones. NoiseBlockAI v2 specifically recommended for large rooms with reflective surfaces.
Poly Studio G62
The G62 is a separate modular codec — compact, magnetically mountable, PoE+ powered. The codec sits behind the display or in a rack space while cameras and microphones position where the room requires them, connected over the IP network. This is the first system in the HP Poly lineup where "ceiling mic tiles, no table hardware" is achievable without the full G7500 specification.
G62 supports 3 simultaneous E70 or E60 cameras in Teams mode (VideoOS 4.5), IP ceiling microphone tiles, and IP table microphones via the native LLN port and a Netgear GSM4210PD PoE switch. Auto Mic Switching (VideoOS 4.6.1) coordinates all connected microphone arrays automatically. The G62's LLN port is unpowered — the Netgear switch provides PoE to all connected IP peripherals. Maximum cable run: 91 metres per device.
For organisations specifying a new-build room with no legacy Polycom infrastructure — where the brief is ceiling mics, multi-camera coverage, Biamp or QSC DSP, and Crestron room control — the G62 delivers the complete specification at a lower cost than the G7500.
Poly Studio G7500
The G7500 is the only HP Poly system that accepts the hardware Dubai boardrooms built around between 2010 and 2022. EagleEye IV HDCI cameras connect via their original HDCI cables. EagleEye Director II connects via HDCI. Legacy Polycom ceiling microphone arrays connect through the Microphone IP Adapter. The Polycom SoundStructure connects through the same adapter. The G7500 codec replaces the Group 700 in the equipment rack. The boardroom ceiling stays intact. The cameras stay in their brackets. Teams Rooms native from the first meeting after the swap.
For new-build deployments, the G7500 adds capabilities that the G62 does not have: up to four TC10 controllers simultaneously (essential for very long boardroom tables), native serial port for room control processors, and the full camera ecosystem including EagleEye Producer for automated presenter tracking. The full G7500 capability profile is documented at polycomdubai.com/poly-studio-g7500-dubai/.
What a Fully Specified Large Room System Actually Contains
Most supplier pages list the codec and stop there. The room requires more — and the components that surround the codec are where the specification becomes the room. This section explains every component: what it is, what it does, and why it matters for a Dubai boardroom project.
The Microphone That Disappears Into the Ceiling
The Poly IP Ceiling Microphone is a flush-mount unit that sits in a standard 600×600mm acoustic ceiling grid tile — invisible from below. No microphone hardware on the table. No cable running to a conference speakerphone. The boardroom looks exactly as the designer intended. Clean ceiling. Clean table.
Each tile contains a directional microphone array with Acoustic Fence technology — creating a virtual audio boundary that focuses pickup directly below the tile while attenuating sound from outside the zone. NoiseBlockAI and echo cancellation run on the G7500 or G62 codec across all ceiling tile inputs simultaneously. Sound Reflection Reduction compensates for marble floors and glass walls without physical acoustic treatment.
Connects via standard CAT5e/6/7 Ethernet cable — plenum-rated 50ft cable included in the box. Maximum cable run per tile: 91 metres from the LLN switch. For a 14-metre boardroom table, the ceiling tile at the far end needs approximately 16 metres of cable inside the ceiling plenum — well within range. No USB extender. No power brick. One network cable per tile.
The G7500 and G62 Know Who Is Speaking
When multiple IP microphone arrays connect to the G7500 or G62 — ceiling tiles, table mics, or a combination — Auto Mic Switching monitors voice activity across every array simultaneously and activates the one with the strongest signal from the active speaker. The array covering zones where nobody is speaking stays inactive.
In a boardroom with three ceiling tiles across a 14-metre table: when the managing director speaks at the head, the first tile activates. When the finance director in the middle zone speaks, the second tile activates. When the analyst at the far end speaks, the third tile activates. Remote participants hear each person from the microphone directly above them — not an averaged room signal.
The 14-metre table sounds like a 3-metre table on every Teams call. Auto Mic Switching applies across G7500, G62, X72, and X52 (VideoOS 4.6.1). For IP ceiling tiles and IP table mics specifically — G7500 and G62 only via their native LLN network, X72 via USB dongle LLN.
The Camera That Positions Where the Room Needs It
The Studio E70 is the primary external camera for G7500 and G62 deployments. Dual 4K sensors — 120-degree wide-angle covering the full room, 70-degree telephoto tracking the active speaker. DirectorAI switches between them automatically. The motorised electronic privacy shutter closes on demand.
The E70 connects to G7500 and G62 over the same LLN IP network as the ceiling microphones. For a boardroom where the codec is rack-mounted and the camera needs to be at the far wall — IP connection is the only practical solution. USB would require an extender. IP requires a network point that already exists in the ceiling.
Three simultaneous E70 cameras connect to a single G7500 or G62 codec in Teams mode (VideoOS 4.5). A training centre with three presentation and discussion zones deploys one camera per zone. DirectorAI manages all three — switching between cameras based on voice activity and movement across the entire room.
The Switch That Powers the Entire IP Peripheral Network
HP Poly specifically recommends and documents the Netgear AV Line M4250-9G1F-PoE+ (model GSM4210PD) as the supported switch for connecting IP peripherals to G7500 and G62 systems. It is mentioned by model number in the HP Poly Video Mode Administrator Guide and G62 Integrator Guide. This is not a generic PoE switch that happens to work — it is the tested, supported component.
The switch connects to the LLN port on the G7500 or G62 (or via USB dongle on the X72). It then distributes PoE+ power and LLN data to all connected IP devices: ceiling microphone tiles, IP table microphones, E70 cameras. One switch. One cable to the codec. Everything in the room branches from it.
For multiple IP peripherals on G62 — where the native LLN port is unpowered — the Netgear switch is mandatory. For G7500 with a single IP peripheral, a direct PoE injector connection is possible; for multiple peripherals, the Netgear switch is required.
What Connects to Each System
Key peripherals for large room deployments — what each does, which systems it works with, and what to check before specifying.
TC10 — In-Room Controller and Teams Panel
The TC10 serves two different roles on the same hardware. Paired inside the room: calendar display, one-touch join, camera presets, volume, end call, Crestron/QSC room control triggers. Standalone outside the room door: Microsoft Teams Panel mode — shows room availability, LED status visible from 10 metres, room booking directly on the panel.
G7500 supports up to four TC10 controllers simultaneously — one at each end of a long boardroom table, one on a side credenza, one outside the door.
IP Table Mic — Desk-Level Pickup Via PoE
Three directional microphones in a 360° array. Single PoE network cable — same LLN network as the ceiling tiles. Sits on the conference table for rooms where ceiling mic coverage needs reinforcement at table level. Mute button with LED indicator. Auto Mic Switching coordinates table mics and ceiling tiles simultaneously (VideoOS 4.6.1).
Up to 3 IP table mics per G7500 or G62. Connects via the same Netgear GSM4210PD switch as ceiling tiles and IP cameras.
E70 — Dual 4K, DirectorAI, IP or USB
The primary external camera for G7500 and G62 deployments. Two 4K 20MP sensors — 120° wide-angle covering the full room, 70° telephoto tracking the active speaker. DirectorAI switches between them automatically. Motorised electronic privacy shutter. Connects via IP over the LLN network or directly via USB — IP connection is standard for G7500/G62 where the codec is rack-mounted away from the camera position. Three E70 cameras can run simultaneously on a single G7500 or G62 in Teams mode (VideoOS 4.5). Full detail in the ecosystem section above.
E60 — Compact 4K Camera for Secondary Zones
The E60 is a compact single-lens 4K camera — the right choice when a secondary camera zone in a large room needs coverage without the dual-lens cost of the E70. A training centre deploying three camera zones might use one E70 at the primary presenter position and two E60 units at secondary discussion areas. DirectorAI works on E60 the same as E70. USB or IP (LLN) connection.
A2 Table Mic — Next-Gen Proprietary Table Audio
HP Poly's current-generation table microphone system using the proprietary StudioNet/A2B bus. Magnetic mount, daisy-chainable, single Ethernet cable from the A2 Audio Bridge to the video system. NoiseBlockAI pickup range extends from 1.8m to 4.3m when enabled. Multi-Mic Mode mixes up to four A2 Table Mics simultaneously. G62 supports up to 8, X72 and X52 support up to 4.
IP Adapter — Legacy Polycom Ceiling Mics to G7500
The Microphone IP Adapter bridges legacy Polycom ceiling microphone arrays and SoundStructure units to the G7500 codec. When a boardroom has Polycom ceiling mic panels embedded in acoustic tiles, this adapter preserves every panel without ceiling disruption. The adapter connects to the G7500 LLN port — the ceiling mics are treated as IP microphones once bridged. Auto Mic Switching works across all connected adapters.
E360 — 360° Companion Camera for Center-of-Table
The E360 is a center-of-table companion camera designed to work with the X72 — a 360° view that captures participants closest to the table while the X72's wide-angle handles the room perimeter. Designed for circular or non-traditional room layouts where a single front-facing camera leaves close participants under-covered. Smart framing works in combination with DirectorAI on the X72.
Director II — Motorised Presenter Tracking Camera
The EagleEye Director II physically moves to follow the active presenter — motorised pan, tilt, and zoom tracking a person walking across an auditorium stage or training room floor. This is not software framing on a fixed lens. The camera head physically repositions. For large rooms where the presenter moves and a fixed wide-angle leaves them as a distant figure, the Director II keeps them framed at a consistent size regardless of where they stand. Connects via HDCI port on the G7500 — the same connection as EagleEye IV. Works alongside EagleEye Producer for automated switching between a wide room shot and a close presenter shot.
A2 Audio Bridge — Network Hub for A2 Table Mics
The A2 Audio Bridge is required to connect A2 Table Microphones to the video system. It sits between the video codec and the microphone chain — one Ethernet cable from the codec, then A2 Table Mics chain off the bridge via the A2B bus. Without the bridge, A2 Table Mics cannot connect. Supports up to 32 audio input channels across daisy-chained A2 Table Mics. PoE+ powered, magnetically mountable under the conference table. Also connects cameras and third-party room components over StudioNet.

Integrating Professional Room Audio With the HP Poly System
The G7500, G62, and X72 do not include a room speaker system — because premium boardrooms and auditoriums already have one. All three connect to the room's existing professional audio processor via USB. When connected, the DSP handles all audio output. The HP Poly system's internal processing steps aside and the DSP takes over.
HP Poly documents four third-party DSP platforms officially in the G7500 and G62 Administrator Guides — not as workarounds, but as tested, supported integrations.
Biamp Tesira — Most Installed Premium DSP in Dubai
Biamp Tesira and Devio processors are the most frequently specified DSPs in UAE corporate boardrooms and auditoriums. When the G7500, G62, or X72 connects to Biamp via USB, Biamp handles all room audio output. The HP Poly system automatically disables its internal echo cancellation — Biamp's superior AEC takes over. Speakers must be connected to the Biamp processor, not directly to the HP Poly codec.
Supported: TesiraForte Device Family · Devio Device Family
QSC — Audio DSP and Room Control in One Platform
QSC Q-SYS is unique in this ecosystem because it serves two roles simultaneously: audio DSP via USB for speaker output and audio processing, and room control via the TC10 A/V integration for lighting, display, and HVAC. A boardroom with QSC managing both the speaker system and the room automation connects both functions to the HP Poly system through separate channels — one USB for audio, one REST API for control.
Supported: Q-SYS Core 110f · I/O USB Bridge · NV-32-H · Core Nano · Core 8 Flex
Shure P300 — When Shure Microphones Already Serve the Room
The Shure IntelliMix P300 has its own dedicated section in the HP Poly G7500 Partner Mode Administrator Guide — not a footnote, a dedicated configuration chapter. For rooms with existing Shure ceiling microphone installations feeding into a P300, the HP Poly codec connects via USB. Shure handles the complete audio processing chain. The HP Poly system handles video, Teams/Zoom call management, and camera control. Two specialist systems, one USB connection between them.
Supported: Shure IntelliMix P300 Audio Conferencing Processor
Extron — Audio DSP Plus Full Room Control Integration
VideoOS 4.6.1 (November 2025) added full audio and HID mute sync with Extron DMP and DTP3 processors. Before this firmware, mute state was not synchronised between the Extron DSP and the Teams Rooms system. Now: when a participant mutes on the TC10, the Extron DSP mutes. When the DSP mutes, Teams shows muted. One mute state across both systems. Extron also serves as room control via TC10 — meaning a room with Extron DMP managing speakers also uses Extron for lighting and display control through a single platform.
Supported: Extron DMP Series · Extron DTP3 Digital Signal Processors

The Boardroom That Configures Itself When the Meeting Starts
VideoOS 4.5.0 gave the G7500, G62, and X72 TC10 controllers something no previous HP Poly firmware offered: native control of building automation systems alongside call controls. The TC10 touch controller becomes the single interface for the entire room — starting the call, controlling the display, and configuring the physical environment simultaneously.
Four Room Control Systems — All Native
From the TC10 screen, participants control lighting scenes, motorised blinds, HVAC settings, and display inputs alongside standard call controls. HP Poly supports four room control platforms with native integration:
- →Crestron — the most commonly installed building automation system in Dubai premium offices
- →QSC Q-sys — audio and room control in one platform
- →Extron — full audio and HID mute sync added VideoOS 4.6.1
- →Lightware — matrix switching and signal distribution control
One Tap. The Room Configures Itself.
A Business Bay corporate headquarters. Crestron automation manages motorised blackout blinds, three lighting scenes (ambient, presentation, meeting), HVAC occupancy mode. Previously: separate Crestron touchpanel, separate Teams screen, separate volume control. The CEO's assistant manually configured the room before every client call. Nobody else knew how.
With G7500/G62/X72 and VideoOS 4.5: one TC10. "Start Meeting" joins the Teams call, activates meeting lighting, lowers the blinds to screen visibility position, signals HVAC occupancy. One tap. The room is ready. The CEO's assistant is no longer the room's operator.
Existing Crestron or QSC installation? WhatsApp us the control system model and what it currently manages in the room. We assess integration feasibility before any system is specified. → WhatsApp room control question
Real Rooms. Real Briefs. The System That Handles Each One.
These use cases are written from the specifier's view — not the end user's. Each one represents a real project type that AV integrators and IT managers encounter in Dubai boardroom deployments.
Training Centre · Three Zones · One Codec
One G7500 or G62 codec. Three E70 cameras connected over IP — one per zone on the LLN network via the Netgear GSM4210PD switch. IP ceiling mic tiles above each zone, Auto Mic Switching active. DirectorAI manages camera switching based on voice activity — when the presenter speaks at the whiteboard, camera one. When discussion breaks out at the central table, camera two. When the rear group is addressed, camera three.
Remote participants see whoever is speaking, from whatever zone, automatically. One codec. One Poly Lens management entry. No camera operator. No preset switching during the session.
Divisible Training Room · Two Simultaneous Calls
Single G7500 or G62 codec. When the room is full: one codec, one camera zone covering the full space, one microphone array, one Teams call. When the partition closes: two independent microphone arrays — one positioned in each half — two camera inputs, two simultaneous Teams or Zoom calls running from a single codec. When the partition opens, both calls terminate and the full-room configuration resumes.
One system. One Poly Lens management entry. One maintenance contract. Half the hardware cost of two separate systems. This use case is not documented on any other supplier page in the UAE market.
Executive Boardroom · Polycom Group 700 Failing · Full Infrastructure Preserved
G7500 codec replaces the Group 700 in the equipment rack. EagleEye IV HDCI cameras connect to the G7500 via their original HDCI cables — no bracket removal. Existing Polycom ceiling microphone arrays connect through the Microphone IP Adapter. The codec is the only hardware that changes. The ceiling stays intact. The microphone panels stay in place. Teams Rooms native from the first meeting after the swap. The AV consultant is wrong.
DIFC Executive Boardroom · Existing Shure Ceiling Microphones · AED 80,000 Investment
The Shure IntelliMix P300 DSP integration path preserves this investment entirely. Existing Shure ceiling microphones remain connected to the P300 via their original XLR cables. The P300 connects to the G7500 codec via USB. The G7500 detects the USB audio device, hands off all audio processing to the P300, and disables its internal echo cancellation — the P300's superior AEC takes over. Speakers remain connected to the P300. Only the Polycom codec is replaced. The ceiling mics, the cabling, and the P300 stay exactly where they are.
HP Poly documents the Shure IntelliMix P300 integration in its own dedicated chapter of the G7500 Partner Mode Administrator Guide. The AED 80,000 audio investment is protected. The G7500 handles all video, Teams/Zoom call management, and camera control. The P300 handles the complete audio chain it was specified for.
Sheikh Zayed Road Boardroom · Glass Walls · Camera Sees the Trading Floor
DirectorAI Perimeter on the G7500 or G62 (VideoOS 4.6.0) draws a boundary zone in a live camera view on the TC10 screen — the camera AI only frames people inside the boundary. For off-centre rooms, VideoOS 4.6.0 added asymmetric boundary configuration: left and right distances set independently. The trading floor side is excluded entirely from the frame boundary. The boardroom side retains full coverage. Configuration takes five minutes on the TC10. The chairman's boardroom call shows only the boardroom, permanently.
Multi-Site IT Deployment · 12 Boardrooms · One Dashboard
Poly Lens — included free with every G7500, G62, and X72 — surfaces camera health, call quality scores, and device firmware status across every location from a single cloud dashboard. The firmware update to all twelve rooms pushes simultaneously from one browser session. The Riyadh camera issue shows in the Poly Lens device health panel before it fails a call. The Dubai IT administrator resolves it remotely without travel. SCEP certificate management automates renewal across all twelve systems simultaneously.

We Work With Integrators on Complex Boardroom Projects
A G7500 or G62 boardroom deployment is not a product sale. It is a project. The AV integrator specifying it, the IT manager commissioning it, and the operations team handing it over all have different requirements from the supplier. We have been involved in complex HP Poly deployments across Dubai, Abu Dhabi, and the GCC since 2010. These are the ways we support integrators and IT professionals specifically.

Large Room Installation — What It Involves
A G7500 or G62 boardroom installation is not the same as a standard video bar installation. IP camera positioning, ceiling mic tile placement and cable routing through plenum spaces, Netgear LLN switch configuration, DSP USB connection and audio mode activation, Crestron API integration, TC10 commissioning, and Poly Lens zero-touch profile deployment all happen before the first meeting. We do not leave until a live call has been made with every component functioning as specified.
Site Survey
Room dimensions, ceiling height, ceiling grid type, existing DSP model, existing camera positions, Crestron processor model, network points. We assess everything before hardware is specified or ordered.
Staging & Zero-Touch
Hardware supplied from Dubai stock. Poly Lens zero-touch deployment profile configured before delivery — Teams resource account, camera presets, mic configuration, room control triggers. The system downloads its configuration on first network connection.
Install & Integrate
Ceiling mic tile positioning and cable routing. IP camera mounting and LLN connection. Netgear switch configuration. USB DSP connection and audio mode activation. Crestron API integration and TC10 A/V control setup. All four TC10 controllers paired.
Commission & Test
Live call test — all cameras switching, all mic zones audible at the far end, all TC10 controllers functional, DSP audio output through room speakers, Crestron triggers firing. Poly Lens shows all devices green. We do not leave until this is confirmed.
